2011 SPP Presentation Guidelines and Best Poster Award

Dear SPP presenters,

Our congress is just a little over two weeks ahead! Please read carefully the following information so you can prepare effectively your talk/poster.

Audio/visual equipment:
A standard LCD projector will be available in each parallel session room. The organizers will not provide laptops, so please bring your own or make necessary arrangements beforehand.

Time estimates of talks:
Plenary Sessions: 30 minutes (25 minutes talk + 5 min. Q&A & transition ) or 45 minutes (35 min. talk + 10 min. Q&A & transition)
Parallel Sessions: 15 minutes (13 min. talk + 2 min. Q&A & transition)
Workshops: Depends. Please contact your workshop organizer.

Speaker guidelines:
The SPP congress is an interdisciplinary conference. Participants will be coming from a wide range of disciplines, so focus at the big picture and avoid very technical details. Explain the background, core ideas, and take-home messages in a plain, easy-to-understand way in your talk. Also please make sure to leave time for questions.

Poster presenter guidelines:

The space allocated to your poster will be 3 feet wide horizontally (~0.9 meters) by 4 feet long vertically (~ 1.2 meters). Materials for attaching the posters will be provided. Posters will be up during the entire conference period, so you can put it up as soon as you arrive, and take it down when you leave.

You will be required to stand next to your poster and present your work to the audience in one of the two poster sessions. Please see the online conference program if you are not sure which session you are assigned to.

After the last plenary session speaker in the morning, right before the poster session, poster presenters are allotted a one-minute poster pitch presentation. Please create one slide that summarizes a key point of your poster, make it a PDF, and email it to the Poster Pitch coordinator (spp2011.poster@gmail.com) AS SOON AS POSSIBLE AND BEFORE 5 PM OCTOBER 17 2011.

The SPP Best Poster Award

This recognition is awarded to the best poster presented during the annual SPP Physics Congress. It aims to motivate and encourage excellence in both research and presentation of results in theoretical or experimental physics. The award consists of a trophy and cash amount. It is awarded annually during the Physics Congress.

Eligibility and Mechanics:
All posters contributed to the Physics Congress are eligible for the award. During the Congress all participants are given the opportunity to vote for their favorite three posters in the exhibit. All votes will be tallied after the poster sessions have concluded. Three to five judges from the Publications Committee will then decide which poster among the top ten vote-getters is the best. The winner will be announced during the closing ceremonies of the Congress. The decision of the board of judges is final.

Criteria (Final Judging, Total: 100 %):
Quality of research output: 50 %
Poster layout and design: 20 %
Popularity: 30 %

Thank you very much again for your contribution to SPP. We hope you will have a productive and meaningful time in our conference!

Best,

Christopher Monterola
